A letter of invitation is a formal request for an individual’s presence in an event, dinner, celebration or formal occasion. An invitation letter is frequently distributed for ceremonies, graduation, weddings, birthdays, anniversary parties, etc.
Invitation letters are very useful for inviting the guests to a ceremony or event. The language of the invitation letter must be very polite enough so that guests feel the warmth and love through the letter only.
The letter must clearly mention the type of event that is going to be organized. If the event is a black-tie event then the guest must be informed about the genre of the party. The sample invitation letter can be sent from some institution to some other institution for the purpose of inviting them to the event.
This invitation letter can be used for personal reasons also such as house parties or some other casual parties. In the case of a business setting, the letter should be written in a formal way to invite the clients and peers to the events hosted by the company.
Sample Invitation Letter Writing Tips
- The letter must have a warm opening and the guest must be asked very nicely to attend the event.
- The venue, time and date of the event must be clearly mentioned in the letter.
- The letter must be cross checked at least twice before sending it to the guest because in the formal invitations no mistakes are accepted.
- The genre of the party that is whether casual or formal must be mentioned in the letter.
- The tone of the letter must be maintained – in the case of both formal and informal one.
- Any specifications pertaining to the event must be properly outlined.

The following is the Email Format to be followed for an invitation letter.
Dear Climate Change Committee,
I wish to invite you to the First Expert Group Meeting on Climate Change Reduction and Mitigation. This meeting will be hosted by UNEP in their conference room 2 in Geneva from 3rd March to 5th March 2020. You are invited to attend this meeting with the appointed experts as part of your delegation.
Following the Paris Agreement to have expert group meetings quarterly every year to monitor the implementation of the national goals towards reducing climate change, the purpose of this meeting is to analyze the progress.
